Part 1: What is WhatsApp?
WhatsApp is a cross-platform instant messaging app that allows you to send and receive messages, photos, videos, documents and voice messages in real-time to other WhatsApp users. It uses your phone’s internet data plan or WiFi connection to send messages, so you can avoid SMS costs completely.
Some key features of WhatsApp:
- Messaging – Send text messages, links, emojis, GIFs, documents, location and contacts to your WhatsApp contacts.
- Calling – Make free WhatsApp audio and video calls over WiFi or mobile data. Calls are end-to-end encrypted.
- Groups – Create groups to message up to 256 people at once. Coordinate with friends, family, colleagues and interest groups.
- Media sharing – Share photos, videos, GIFs, voice messages and documents up to 100MB seamlessly.
- End-to-end encryption – Messages and calls are secured with end-to-end encryption so only you and the recipient can read or listen to them. Even WhatsApp cannot decrypt them.

It has become the go-to messaging app for many people, replacing SMS and achieving near universal penetration in countries like India, Brazil, Malaysia, Mexico, Argentina and South Africa.
A Brief History of WhatsApp

Why WhatsApp is So Popular
WhatsApp experienced astronomical growth right from launch, but why has it proved to be so popular and addictive for users across the globe?
Here are some key reasons:
It’s Simple and Easy to Use
WhatsApp took the standard SMS text messaging experience and turbo-charged it with features like multimedia sharing, group chats, voice and video calls. But they wrapped it up in a super simple interface. Chatting on WhatsApp is intuitive and seamless. This ease of use helped it gain mass adoption.
Texting Without Paying for SMS
WhatsApp uses phone’s internet connection to send messages. So you can avoid paying for SMS costs, especially helpful internationally. This savings on messaging costs is a major reason for WhatsApp’s popularity globally.
Cross-Platform Availability
Unlike applications like iMessage or BBM, WhatsApp works great across iOS, Android, Windows Phone, Windows and macOS platforms. This cross-platform availability means almost everyone can use it.
Group Chatting Made Easy
WhatsApp makes talking to multiple people at once incredibly easy. You can create groups with just a couple taps, name them, add up to 256 participants. Group chatting is a highly used WhatsApp capability.
Media Sharing
We all love sharing cool photos and videos with friends. WhatsApp makes this easy and fast even with large high-quality media files. The convenience of media sharing adds to the appeal.
Voice and Video Calls
WhatsApp allows free voice and video calling over phone’s internet connection. Not having to worry about call rates or international charges is a major benefit, especially abroad.
Uses Phone’s Contact List
WhatsApp reads your phone contacts so you can quickly message people you already have in your address book. It uses your existing connections to get started.
Secure Encrypted Messaging
WhatsApp uses sophisticated end-to-end encryption for all communication. This gives users peace of mind that messages and calls are secured.
It’s Completely Free
WhatsApp does not charge any subscription fee or impose any ads. Avoiding costs helped rapidly spread WhatsApp across the world.
Fast and Reliable
WhatsApp was engineered for speed and reliability. Messages get delivered instantly and it handles large media files smoothly. This focus on performance adds to the appeal.
Constant Innovation
WhatsApp keeps evolving with useful new additions like video calling, group admin controls, WhatsApp Pay and more. Constant improvements maintain user interest.
Thanks to this potent combination of utility, ease of use, multi-platform availability, security and cost savings – WhatsApp has become the messaging app of choice for a large chunk of humanity!
How WhatsApp Works
Now that you know what WhatsApp is and why it’s so popular – let’s look under the hood to understand how WhatsApp actually works behind the scenes.
Verifying Your Number
The first step to use WhatsApp is verifying your mobile phone number. This attaches your account and profile to your phone number.
When you provide your number, WhatsApp will send an SMS with a 6-digit verification code. Entering this code proves that you own the phone number and sets up your WhatsApp account.
Contact Discovery
Once your number is verified, WhatsApp automatically scans your phone’s address book and finds contacts who also have WhatsApp. It also checks its global user directory to match any numbers not in your contacts.
This allows you to instantly message people in your contacts who are already using WhatsApp.
End-to-End Encryption
WhatsApp implements sophisticated end-to-end encryption to secure all your conversations. This means the messages and calls are encrypted on your device before being sent to the recipients. Only you and the people in the chat can read or listen to them.
Even WhatsApp itself cannot decrypt your messages or calls. This ensures complete privacy.
Using Data Connection for Messaging
To send and receive messages, photos, videos and anything else, WhatsApp uses your phone’s mobile data or WiFi internet connection instead of your cellular plan’s texting (SMS) capability.
By leveraging your existing internet access, WhatsApp allows you to message without using any SMS allowance. This enables unlimited texting without any charges.
Minimal Battery and Data Usage
The WhatsApp app is optimized to use minimal battery on your phone. It’s designed to be light on mobile data usage as well. So you can chat without worrying about excess battery drain or data costs.
Option for Local Backup
WhatsApp allows you to create a local encrypted backup of your chat history on your phone storage or Google Drive. If you switch devices, you can restore your chat history from this backup.
Media Download Preferences
To manage mobile data usage, WhatsApp allows you to disable auto-downloading of media like photos and videos when connected only to mobile data. You can choose to auto-download only on unmetered WiFi.
Security Codes for Web Sessions
To enable accessing WhatsApp via the web app, you need to scan a QR code from your phone to link the session. This security code ensures your chats remain protected when using WhatsApp web.
Asynchronous Messaging
WhatsApp is based on an asynchronous messaging architecture. This means the sender and receiver don’t have to be online at the same time. Messages are stored and delivered as soon as the recipient comes online.
Push Notifications
To notify you about new messages, WhatsApp sends push notifications to your phone system. This allows you to receive messages in real time without having the app open all day.
Group Administration
WhatsApp has special controls available only to group admins. Admins can add or remove participants, change group settings and have the power to remove messages for other members.
Media Sharing from Other Apps
WhatsApp is integrated into the operating system’s share menu. This allows you to easily share photos, videos or files from the gallery or other apps directly to your WhatsApp contacts.
VoIP Calling
WhatsApp voice and video calls use VoIP (Voice over IP) to place calls over the internet, instead of a cellular voice plan. This allows free international calls via WiFi or mobile data.
Read Receipts
WhatsApp’s double check marks (read receipts) allow you to see when your messages have been delivered and read. You can also see when contact is typing to get quick feedback.
File Size Limit
WhatsApp has a maximum media file size limit of 100MB to ensure smooth delivery and prevent overloading their servers. Large files are compressed before sending.
This covers the key technical capabilities that enable WhatsApp to provide such a fast, reliable, efficient and secure messaging experience. Understanding how it works helps you use the app more effectively.
Getting Started with WhatsApp
Ready to start using WhatsApp? Getting set up is quick and easy. Here are the steps:
1. Download the App
First, download WhatsApp from your device’s app store – the Apple App Store for iPhones or the Google Play Store for Android phones. The app is completely free.
On Android, check that your Google Play Store lists WhatsApp as the publisher. Avoid any similarly named imposter apps.
2. Enter Your Number
Once WhatsApp is installed, open it and you’ll be prompted to enter your mobile phone number. This number will be used for creating your account.
Numbers from all countries and carriers are supported on WhatsApp. Enter your complete phone number including country code.
3. Verify Your Number
After entering your phone number, WhatsApp will send you a 6-digit verification code via SMS.
Type in this code and your account will be verified. This verification proves you own the phone number and sets up your WhatsApp account.
4. Allow Permissions
On first launch, WhatsApp will ask you to allow certain permissions like access to contacts, storage, camera and microphone.
Allow these permissions so you can send media and easily message people in your contacts. All data access is encrypted.
5. Set Profile Photo & Name
You’ll now be prompted to set a profile photo and name that will be visible to your WhatsApp contacts.
Pick a good profile photo and enter your name or nickname. You can skip this and set it later.

I recommend disabling Last Seen status for more privacy. You can change this later in Settings.
That’s it! WhatsApp will now take you to the Chats screen where you can start messaging your contacts.

Part 2: Setting Up WhatsApp
Setting up WhatsApp is quick and easy. In this chapter, we will walk through everything you need to do to get the app downloaded, verified, and ready to start messaging.
Downloading the WhatsApp App
The first step is to download WhatsApp onto your mobile device. WhatsApp is available as a free download for smartphones including both iPhones and Android phones.
To download WhatsApp on an iPhone:
- Open the App Store on your iPhone. You can find this on your home screen or by searching.
- At the bottom of the screen, tap the “Search” tab.
- In the search bar, type “WhatsApp”.
- Tap on the WhatsApp icon that appears in the search results. This will take you to the WhatsApp page.
- Tap “Get” to begin downloading WhatsApp onto your device.
- You may need to enter your Apple ID password or use Touch ID to confirm the download.
Once you tap Get, WhatsApp will begin downloading. You will see its download progress on the App Store page.
When the download completes, WhatsApp will appear on your iPhone’s home screen and you can tap to open it.
To download WhatsApp on an Android phone:
- Open the Google Play Store app on your device. You can find this on your home screen, in your app drawer, or by searching.
- Tap the search bar at the top and search for “WhatsApp”.
- Tap on the WhatsApp icon in the search results.
- Tap “Install” to begin downloading it on your phone.
- Accept any requested permissions. The download will now begin.
- Once the WhatsApp download completes, you will see an “Open” button. Tap this to launch WhatsApp.
That’s it! WhatsApp is now installed on your Android or iPhone. The next step is verifying your phone number.
Verifying Your Phone Number
To use WhatsApp, you need to verify your phone number. This connects your WhatsApp account to your phone.
Verification occurs right when you open WhatsApp for the first time:
- Open WhatsApp on your phone.
- A screen will appear asking you to enter your country code and phone number.
- Enter your complete phone number, including country code. For example, a US number would be +1XXXXXXXXXX.
- Tap “OK” or “Continue”. WhatsApp will now verify your phone number automatically.
- You may receive a text message on your phone with a six digit code. If so, enter this code into WhatsApp to complete verification.
- On iPhones, you can also verify via your SIM card without needing a code. Just tap Continue and WhatsApp will detect your number.
- If you have two SIMs inserted, you may need to select which SIM card’s number to use.
Once your phone number is verified, your WhatsApp account is ready! You will see options to allow contacts syncing, set a profile name, add a profile photo and more.
If you ever need to change your phone number linked to your WhatsApp account, go into WhatsApp Settings > Account > Change Number. You will have to re-verify your new number.
Allowing Necessary App Permissions
For WhatsApp to operate properly, you need to allow certain app permissions on both iPhones and Android phones.
Permissions include:
- Contacts – Allow WhatsApp to access your phone’s contacts so you can easily message people you know.
- Storage – Allow WhatsApp to store your messages, media, and backup data.
- Camera – Allow WhatsApp to access your camera to take photos/videos within chats.
- Microphone – Allow WhatsApp to access your mic for voice messages and calls.
- Location – Allow sharing your live location in chats (optional).
When you open WhatsApp for the first time, it will request permissions via pop-up notifications. Simply tap “Allow” or “OK” for each one.
On iPhones, you can also manage permissions after setup in Settings > WhatsApp > Permissions.
On Androids, go to Settings > Apps & Notifications > WhatsApp > Permissions to manage.
Allowing these permits WhatsApp to operate fully, while protecting personal data. Only allow Location access if comfortable sharing live locations.
Setting Your Profile Name and Photo
Before you start chatting, it’s a good idea to set up your profile so people know they’ve got the right number when messaging you!
To set your WhatsApp profile name:
- Open WhatsApp and tap the 3-line Menu button.
- Select Settings > Profile.
- Tap on the text field next to your phone number.
- Type in the name you want displayed on your profile.
- Tap OK to save your name.
This name will be visible to all your WhatsApp contacts.
To add a profile photo:
- Go to the Profile page in Settings.
- Tap the default profile icon.
- Select Choose Photo. This will let you pick an existing photo from your phone’s gallery.
- Choose a good, clear photo of yourself to use as your profile picture.
- Crop or edit the photo if needed. Tap Done to set the photo.
With your name and photo set, your profile is complete! People will now see this when messaging you. You can change it anytime by going back into Profile Settings.
Understanding “Last Seen” Status
In your WhatsApp settings, you’ll notice an option called “Last seen”. This shows the last time you used WhatsApp to your contacts.
By default, Last Seen is enabled for all users to see. But you can disable it for more privacy:
- Everyone – All users can see your last seen time.
- My Contacts – Only people in your contacts can see it.
- Nobody – Last seen hidden from everyone.
To change Last Seen privacy:
- Open WhatsApp Settings.
- Tap Account > Privacy.
- Tap Last Seen.
- Select your preferred visibility option.
If you disable Last Seen, you won’t be able to see other users’ last seen times either. But you’ll have more control over your availability.
You can also hide other status info here like Profile Photo and About. Just toggle them off for more privacy.
Disabling Read Receipts
Read receipts show when you’ve read a message in WhatsApp. Like Last Seen, these are on by default.
To disable read receipts for more privacy:
- Go to WhatsApp Settings > Account > Privacy.
- Toggle off Read Receipts.
With these off, users won’t get notified when you read their messages. You can also choose to share read receipts with only selected contacts.
Disabling read receipts prevents nuisance or unwanted conversations. But it also means you won’t see read statuses from other users.
Backing Up Your WhatsApp Account
Before starting to use WhatsApp, it’s a good idea to back up your account. Backups save your messages, media, settings etc.
This allows you to restore everything if you ever switch phones, lose your phone, or reinstall WhatsApp.
There are two backup options:
Local Backup – Saves a backup file locally on your device storage. But this file can be lost if your phone is damaged or wiped.
Google Drive Backup – Saves your backup to Google Drive (Android) or iCloud (iPhone). Much safer if your phone is lost/damaged.
To enable Google or iCloud backup:
- Open WhatsApp Settings.
- Go to Chats > Chat Backup.
- Select Back Up to Google Drive or iCloud Drive.
- Follow prompts to confirm backup account and settings.
- Tap Back Up to manually trigger an immediate backup.
Your WhatsApp data will now backup daily when you’re charging + connected to WiFi. You can also manually back up anytime.
If you ever need to restore your backup on a new phone, just verify your number during WhatsApp setup. On the Backup screen, tap Restore to retrieve your chats and data.
Customizing Notifications
WhatsApp notifications keep you updated when you get new messages and alerts. But the default settings can be noisy.
You can customize WhatsApp notifications to suit your preferences:
- Notification Tones – Change sounds for new messages, group notifications etc.
- Vibration – Toggle vibration on/off for notifications.
- Popup Notifications – Enable popups for new messages.
- Light – Flash notification light for new alerts.
- Show Previews – Show message previews or hide content.
To customize notifications on iPhone:
- Go to WhatsApp Settings > Notifications.
- Tap each notification type to change tones, vibration, etc.
To customize Android notifications:
- Go to your phone’s Settings app.
- Tap Apps & Notifications > WhatsApp.
- Tap each notification type to customize.
Try using unique tones for key contacts or groups. You can also adjust notification privacy by hiding message previews.
Troubleshooting Setup Issues
In some cases, you may run into issues during the WhatsApp setup process. Here are troubleshooting tips for common problems:
Can’t Verify Phone Number
This usually occurs if you recently switched carrier or got a new number. First, make sure you have an active SIM card with mobile data enabled. If that doesn’t work, contact your carrier to make sure your number is fully ported and activated on their network.
SMS Verification Code Not Received
If you aren’t receiving the SMS code, first check your signal strength. Weak mobile signal can delay SMS delivery. If signal is fine, try restarting your phone and requesting a new verification code.
Also try manually typing in the code if auto-verification fails. The code may be delayed but still arrives later in a text message.
Restored Backup Not Working
If your chat history isn’t restoring properly, force quit WhatsApp and try restoring again. If still facing issues, log out of your WhatsApp account in Settings, delete the app data, then reinstall and restore.
Can’t Create Account
WhatsApp may show an error during account creation if your number has been banned or if there are issues connecting to servers. Try switching to mobile data instead of WiFi and creating your account again later.
Joining the WhatsApp Community
And that’s it! WhatsApp is now fully set up and ready to use. The last step is joining the larger WhatsApp community:
- Spread the Word – Let your family/friends know you’re now on WhatsApp to encourage them to join as well.
- Look for Group Links – Search for WhatsApp group links shared by communities, events, business etc. Groups make WhatsApp even more useful.
- Follow Official WhatsApp Pages – WhatsApp has various social media pages providing app updates, tips and community engagement opportunities via comments and posts.
You can find new contacts by getting your unique WhatsApp link. This lets people directly open a chat with you by simply tapping the link. Go to Settings > Invite via WhatsApp link to get your personalized link.
Part 3: Starting Chats
Once you have set up WhatsApp on your phone, it’s time to start chatting! WhatsApp allows you to have conversations with friends, family, coworkers, and more. There are two main ways to chat on WhatsApp – individual chats and group chats. In this chapter, we will go over how to start both types of chats, find new contacts, initiate conversations, and best practices for messaging.
Starting an Individual Chat
An individual chat on WhatsApp is a one-on-one conversation between you and another person. To start a new individual chat:
- Open WhatsApp and tap on the Chats tab at the bottom. This will bring up your list of existing chats.
- Tap on the New Chat button in the top right corner. It looks like a pencil and paper icon.
- You will now see two options – New Contact and Contacts. Tap on Contacts. This will open your phone’s contacts who also use WhatsApp.
- Scroll through your contacts list and tap on the contact you want to chat with. This will open a new individual chat window with that person.
- At the bottom, type out your first message and hit the send icon on the right (it looks like an arrow pointing to the right).
That’s it! You’ve now started a new one-on-one conversation on WhatsApp. The person will receive your message immediately if they are online. Now you can keep exchanging messages back and forth to have a real-time chat.
If the contact is not showing up in your WhatsApp contacts list, it likely means they are not yet using WhatsApp on their phone number. You can invite them to join WhatsApp by tapping on New Contact instead of Contacts in Step 3 above. This will allow you to enter any phone number to message. The invitation will be sent as an SMS text message.
Finding New Contacts
WhatsApp makes it easy to find new people to chat with. If you don’t already have someone’s contact number in your phone’s address book, there are a couple ways to find and add new contacts:
- Use the Contacts tab in WhatsApp to browse contacts who are already using the app. You can search for names or numbers here.
- Go to the Calls tab to see recent incoming and outgoing calls. Tap on any number to directly message the person.
- Under Settings, tap on Invite Friends. This will allow you to select contacts from your phone’s address book who are not on WhatsApp yet and invite them to join.
- Share your WhatsApp number with friends or post it publicly on social media profiles. When people message your number, they will automatically be added to your WhatsApp contacts.
- Ask connections to share their WhatsApp number with you so you can add them. Be sure to clearly identify yourself when sending the first message so they know who you are.
- On Android phones, you can look up unknown numbers on Truecaller from the WhatsApp menu. This identifies businesses and spam numbers to avoid.
- Use WhatsApp’s Click To Chat feature on websites to directly start chats using QR codes or links, without needing someone’s phone number.
Once you find a new contact, the first step is always to open a simple 1-on-1 chat with them. This will establish you as a contact in their WhatsApp account as well. You can then continue the conversation or add them to groups.
Initiating Conversations
Starting a new chat is easy, but initiating the actual conversation can feel more challenging! Here are some tips for smoothly opening new chats:
- Personalize your message by addressing the person’s name directly e.g. “Hey John!” This helps establish rapport.
- Briefly identify yourself if you think they may not have your contact saved e.g. “Hi, this is Rohit from book club.”
- Get right to your point concisely to be respectful of their time.
- Ask an open-ended question to spark conversation e.g. “How are you doing?”
- Reference something unique you share in common to break the ice.
- Follow up on previous in-person conversations to pick up where you left off.
- Be casual and friendly in tone – this is a personal chat app after all.
- Use emoji reactions like a smile or wave to make initial messages warmer.
- If messaging someone new, explain how you got their number or are connected to them.
- Avoid very long first messages – a few concise sentences are ideal to open.
- Don’t overthink it! A simple “hi” can work when stuck. The goal is to just start talking.
Keep first messages light rather than jumping into serious or heavy topics. Gauge the person’s response to see if they are available and willing to chat at the moment. If the conversation doesn’t take off immediately, give it some time and try following up later.
Messages in WhatsApp are asynchronous, so there is no pressure to respond instantly. The person will see your message whenever they next open the app. However, do avoid sending multiple messages in a row before getting a response, as that can come off as overeager. Be patient and let the natural flow of conversation develop each time you start a new chat.
Continuing Conversations
Once you’ve kicked off a new chat, how do you actually develop the conversation? Here are tips for keeping WhatsApp chats engaging:
- Ask follow up questions to show interest in what the other person is sharing.
- Share a bit about yourself or your day too instead of just interrogating them!
- Comment specifically on things they share like “That’s so cool you’re learning guitar!”
- Jump off their points to share related experiences or thoughts you have.
- If the chat goes quiet, toss out new questions or fun facts to revive it.
- Share photos of what you’re currently doing to spark conversation.
- If you don’t have time to chat, politely say so instead of ghosting.
- Give thoughtful responses rather than one-word answers.
- Apologize if responding late and catch up on any messages they sent.
- Don’t overshare or get too personal unless you know the person well.
- Compliment them on achievements or positive traits.
- Use voice messages to communicate certain points better.
- Gently steer the conversation if it goes off on unhelpful tangents.
- Don’t be afraid to respectfully disagree and have thoughtful debates.
- Pick up old conversations seamlessly next time you chat instead of just saying hi.
- Always be supportive, even when giving constructive feedback.
The goal is to develop an authentic connection by learning about each other’s interests, opinions, lives. Share what makes you unique but also find common ground. Have fun seeing where the conversation naturally flows each time without forcing it. If engaging chats come easily with someone, that’s a great sign you’ll make great WhatsApp friends!
Chatting With Friends and Family
When starting a chat with close friends or family members, the conversation can be more casual and candid right off the bat. You likely already know each other’s lives well enough to skip small talk. Here are tips for chatting with your inner circle:
- Check in on how they’re doing with school, work, health. Update them on your recent life.
- Share funny memes, TikToks, videos you think they’ll enjoy. React with lots of emojis and comments.
- Vent about common frustrations or get advice on issues you’re facing.
- Coordinate meetups or group events and make plans.
- Send silly selfies and photos throughout your day.
- Have inside jokes and reference shared memories.
- Wish each other on holidays, birthdays, important days.
- Update them on family news or gossip they’ll care about too.
- Ask for suggestions like restaurant, movie, gift ideas.
- Create polls to get their opinion on choices you’re deciding between.
- Feel comfortable being completely yourself – they know you already!
Having long-term context makes conversations with close connections easy. You can pick up quickly even after not chatting in a while. Just be sure to balance venting or asking for support with also being positive. And avoid sensitive topics that are better discussed in person. Overall, enjoy the chance to feel closely bonded even from afar.
Chatting With Colleagues
When messaging work colleagues, keep the chat professional. Follow these tips:
- Be clear about the purpose of the chat, ideally work-related.
- Keep the tone friendly but not too casual. Don’t overshare personal details.
- Avoid use of slang or offensive language.
- Be careful with humor or sarcasm – they could be misinterpreted.
- Respond promptly during working hours. Preface if delayed.
- Proofread messages and use proper grammar/spelling.
- Do not make inappropriate remarks or advances.
- Provide context if sharing documents or information.
- Keep messages brief and direct. Avoid unnecessary chitchat.
- Do not gossip or speak negatively about others.
- Thank them for their help and time.
- Change subjects politely if chat digresses too far off topic.
- Do not pressure them to respond during time off.
- Praise their work and contributions. Constructive feedback if needed.
The goal is effective communication to get work done, not personal bonding. Keep it cordial but focused. And whenever in doubt, err on the side of formality. You don’t want any messages to be potentially misconstrued.
With colleagues you also interact with socially outside of work, you can relax formality slightly when chatting. But still avoid overly personal, controversial or sensitive topics. Be mindful that your messages are not strictly private and could get shared with others in your company. Keep that professional filter on.
Chatting With Businesses or Services
WhatsApp can be very handy for chatting directly with businesses or services. Many companies now list their WhatsApp numbers on their website or ads to contact for support, orders, appointments etc.
Here are some tips for using WhatsApp to engage with businesses:
- Be clear about your purpose for messaging. State if you have a question, request, complaint early on.
- Keep messages concise. Stick to providing relevant details only.
- Be patient. Responses may take longer as these are managed accounts.
- Avoid sending too many follow up messages. Allow reasonable time.
- Politely persist or escalate only if completely ignored after sufficient time.
- Do not get confrontational or threaten negative reviews. Stay calm and friendly.
- Thank the agent when they resolve your request or provide good service.
- Save important information like order numbers, receipts, tracking details they share.
- Ask them to confirm when your issue is fully resolved before ending chat.
- Provide feedback if asked in closing survey messages. This helps improve service.
- If needed, politely request to speak to supervisor or manager for further assistance.
- Avoid overly personal chitchat unless initiated by the agent themselves. Stick to your goal.
WhatsApp Business accounts allow companies to provide customer service efficiently. Use them to get quick responses and resolution. But don’t expect deep personal bonding with a business account! Be pleasant yet focused on resolving your need safely.
Chatting With Strangers or New Contacts
When starting a chat with someone you don’t know well, take extra care. Here are some safety tips:
- Do not immediately share personal details like address or work location. Take time getting to know them first.
- Look up their phone number on Truecaller to identify potential spammers.
- Ask how they got your number if not clear – don’t assume they’re safe.
- Talk briefly on phone before meeting anyone unknown in person. Vet them.
- Beware of flirty messages from random contacts – could be scammers.
- Do not send money or sensitive photos to unverified strangers.
- Stop replying politely if conversation becomes inappropriate or pushy.
- Report or block anyone harassing you or making threats.
- Trust your instincts – if chat feels fishy, end it. Don’t feel pressured.
- Meet first time in public space if deciding to meet offline. Inform someone you trust.
- Do not invite home or share home address with someone not well known yet.
- Look out for common scammer tactics like requests for gift cards, bank info etc.
- Search their name online to identify any concerning reports or red flags.
While WhatsApp can help you expand your connections, always vet new contacts thoroughly first. Take time to really get to know them before placing trust. Your safety comes first. If needed, do not hesitate to cut off communications with anyone suspicious or unhealthy. There are plenty of great new people to meet safely as well!
Group Chats
In addition to one-on-one conversations, WhatsApp allows you to chat with multiple people at once in a group. Group chats are a fun way to interact with friends, family, coworkers and other circles. Here are some tips for starting and using groups:

- Explain the purpose of the group if any – sharing photos, making plans etc.
Adding Members
- Tap group name to open info and tap “Add Participants” to add more contacts.
- To find new members beyond your contacts, create a group invite link under Group Settings to share.
- Let new members introduce themselves when they join if group is already active.
- Limit group size to 10-15 people max for manageable chats.
- Add people with care as removing requires deleting the whole group.
Group Chat Tips
- Give the group a clear, focused topic like family, coworkers, trip planning etc.
- Gently steer conversation back on track if it goes off topic.
- Don’t dominate chat. Let others speak too and react to their messages.
- Reply privately if commenting on something personal shared.
- Clarify if questions are directed to the whole group or particular person.
- Keep messages short and relevant to the group. Avoid private asides.
- Be polite. No insults or criticism directed at individuals.

Friend Groups
- Make plans for hangouts, concerts, trips, parties.
- Share and react to funny memes, videos, content.
- Have lighthearted banter and inside jokes.
- Share personal updates and photos (with caution).
- Have engaging debates on shared interests like movies, sports teams.
- Help each other solve problems or make choices.
- Avoid excessive venting or drama. Keep mood upbeat.
Project or Work Groups
- Clarify objectives, deadlines, member roles.
- Share files, documents, links relevant to work.
- Provide quick updates on progress after meetups.
- Align on next steps, delegate tasks.
- Respect each other’s time – keep messages focused.
- Express appreciation for teammates’ contributions.
- Brainstorm ideas and solutions.
- Limit inside humor or chitchat during work time.
- Avoid sensitive personal topics.
Group admins should take the lead in keeping groups on track. But every member should follow polite chat etiquette too. With the right people and purpose, group chats can be very engaging places for conversation!
Voice Messaging
In addition to typing out messages, WhatsApp also allows voice messaging. This can add more personal expression to conversations. Here are some tips for effectively using voice messages in chats:
- Keep voice notes under a minute to convey key thoughts concisely. Don’t ramble.
- Speak clearly and audibly. Don’t record in noisy environments.
- For longer updates, type out bulleted notes instead of one long voice message.
- Listen and react to voice messages you receive before recording your own response.
- If speaking on sensitive topics, still be mindful of privacy if around others.
- Voice notes with close friends can be very casual. Professional contacts may prefer typed messages.
- Repeat or summarize key points from voice messages in follow up typed notes too.
- Prefix voice notes to clarify context if the thread covers multiple topics.
- Use headphone mic for clearer audio quality and to avoid disrupting others nearby.
- Record quick voice reactions like laughs or gasps to share your reactions more vividly.
- Avoid long back-and-forth voice messaging threads. Have a regular typed chat too.
Voice messages help add tone, emphasis and emotion. They can communicate some thoughts faster than typing and feel more personal. But use them selectively in moderation alongside regular typed chat to keep conversations engaging.
Typing Indicators
WhatsApp shows typing indicators when your contact is typing a message to you. When you see these, you know a message is imminent:
- In individual chats, “typing…” will appear if the other person is typing.
- In groups, “typing…” will show up if any participant starts typing.
This real-time feedback makes conversations feel more natural, like interacting face-to-face.
Some things to note about typing indicators:
- They disappear if typing stops for a few seconds.
- You can turn them off in Privacy settings.
- Some contacts may not show indicators if they disabled them.
- They prevent awkward situations of two people texting at the same time.
Overall, typing indicators add visibility into your conversations though the other party may not necessarily send a message in the end.
Sharing Your Location
WhatsApp allows sharing your real-time location with contacts, making it easy to arrange meetups or keep tabs on each other:
- In a chat, tap Attach > Location.
- Choose to share your Live Location or static location on the map.

The recipient will see your shared location on a map along with elapsed time and distance in relation to them.

- Include a caption or message to add context.
- Keep it to just 1-5 photos/videos per share for easy viewing

- Switch to video mode if needed.

- Request confirmation after sending important documents.
- Rename files to something identifiable before sending.
- Share shortened URLs to large cloud-hosted docs that can’t be directly sent.
While documents don’t have preview thumbnails like media, recipients can tap to download and view the files you send. Shared documents are automatically saved to recipients’ WhatsApp/Documents folder for easy access.
Links
You can send clickable links on WhatsApp to share web pages, articles, products, YouTube videos, social media profiles and more.
To send a link:
- Copy the URL you want to share.
- Paste the URL in your WhatsApp chat text box.

- Always preview the content before sending to ensure it’s appropriate.
- Use link shortening tools like bit.ly to condense long URLs.
- Accompany links with a summary of key points from the content.
- Mention why you are sharing the particular link.
Link previews provide a handy visual cue, but don’t rely on them. Always provide your own context explaining what the link contains to give your recipient insight before tapping.

To set up WhatsApp Web:

Some key aspects of this security:
- Encryption applies to text messages, group chats, media, voice calls and video calls.
- Only the sender and recipient can read messages, not even WhatsApp servers.
- WhatsApp cannot decrypt your messages to comply with legal requests.
- Encryption keys change frequently making it difficult to crack open past communications.
- WhatsApp messages have the highest level of privacy compared to standard text messaging or other chat apps without end-to-end encryption.
While WhatsApp’s security is very robust, there are still a few things to keep in mind:
- Avoid sending any sensitive information that could be misused if your device is compromised.
- Beware of scams and hoaxes from unknown contacts.
- Ensure to verify safety of any third-party apps or tools used with WhatsApp.

WhatsApp provides options to backup your messages in case you lose your phone or switch devices. Backups are encrypted locally and include your message history, photos, videos, voice messages and more.
There are two main options for backups provided by WhatsApp:

Part 5: Multimedia Messaging
WhatsApp allows you to send and receive not just text, but also photos, videos, GIFs, voice messages, documents and more. This multimedia messaging capability makes conversations richer and more engaging. In this chapter, we will cover everything you need to know about sending and receiving multimedia on WhatsApp.
Sending Photos and Images
Photos and images can help illustrate your messages and make them more visual. To send a photo or image on WhatsApp:
- Open the chat with the person or group you want to send the photo to.
- Tap on the Attach button (paperclip icon).

Sending Smaller Photos
To send photos faster and use less mobile data, you can compress them before sending. Here are some tips:
- Use an image editing app to reduce resolution or apply compression. Apps like Adobe Photoshop Express are great for this.
- Crop the image to just the relevant part instead of sending full sized photos.
- Use online image compressors to reduce file size before downloading and sending the image.
Sending Clearer Photos
For the recipient to view photos clearly on their device, here are some tips:
- Send landscape oriented photos instead of portrait, as they take up more screen width.
- Use the highest resolution and quality available when capturing on your phone camera.
- Avoid excessive text or filters on the photo that can make it busy or obscure.
- Ensure adequate lighting when capturing the image. Use flash if indoors or in low light.

- Report cyberbullying or harassment due to received content.
- Keep chats and media encrypted for safety against hacking.
By being responsible with the multimedia you share on WhatsApp, you can have fun connecting with your contacts while also staying secure.
Customizing Media Settings
Within WhatsApp’s Settings, you can customize options related to media sharing:
- Media Autodownload – Automatically download attachments received.
- Photo Upload Quality – Higher quality uses more data but is clearer.
- Video Upload Quality – Choose between data saver, auto, best quality.
- Roaming settings – For saving mobile data when traveling abroad.
Configure based on your preferences, data costs and usage habits. This completes our detailed guide on sending and receiving rich multimedia content through WhatsApp chats! You are now a pro at sharing photos, videos, GIFs, documents and more to elevate your messaging experience.
Part 6: Voice and Video Calls
WhatsApp allows users to make free voice and video calls to other users worldwide. Calling is a handy communication option alongside text messaging that lets you have more natural, real-time conversations.
In this chapter, we will cover everything you need to know about making voice and video calls on WhatsApp.
Voice Calls
Voice calls are an easy way to have a real conversation with your contacts on WhatsApp. They work similar to phone calls, except they use your phone’s internet connection rather than cellular minutes.
Here’s how to make a WhatsApp voice call:
Starting a Voice Call
- Open the chat with the contact you want to call.
- Tap the phone icon in the top right. It looks like a telephone receiver silhouette.
- Your phone will start ringing as it connects the call.
- When your contact accepts the call, you will see a calling screen with the call duration timer.
- To end the call, tap the red phone button.
That’s all there is to it! WhatsApp voice calls are very straightforward to make.
When you receive an incoming WhatsApp call, you will get a notification on your phone that shows the caller’s name and profile photo. Slide the notification to the right to Accept or to the left to Decline the call.
In-Call Options
While on a WhatsApp voice call, you have a few options:
- Mute – Tap the mute icon to mute your microphone so the other person can’t hear you.
- Speaker – Tap the speaker icon to turn on loudspeaker mode. The icon will turn blue.
- Add participant – You can add more participants to the call by tapping the add user icon.
- Keypad – Open the dialer pad to enter DTMF tones.
- Switch to video – Easily switch to video calling by tapping the camera icon.
Call Quality
WhatsApp relies on your phone’s internet connection for voice calls rather than cellular network. Call quality depends on having a stable WiFi or mobile data connection.
It uses Voice over IP (VoIP) technology to digitize and transmit your voice. To get the best sound, make sure you are in an area with good reception. VoIP calls may have occasional lag or static if the connection is spotty.
If you experience poor call quality, try moving to a location with better connectivity or disconnecting and reconnecting the call.
International Calls
One of the best things about WhatsApp calling is that you can make international calls for free. There are no long distance or roaming charges.
This makes it very affordable to call family, friends, or colleagues in other countries. As long as both you and the recipient have an internet connection, the call quality will be the same as local calls.
The only caveat is that very weak internet connections may degrade call quality on longer international calls. But you avoid costly cellular long distance charges!
Data Usage
WhatsApp voice calls use your phone’s data plan or WiFi data. A WhatsApp call uses approximately 8 MB of data per minute. So a one hour call would use around 480 MB of data.
The exact data usage can vary based on connectivity. Video calls use more data than voice calls.
If you are on a limited cell phone data allowance, making lengthy WhatsApp calls could impact your data usage. Use WiFi whenever possible to avoid exceeding your data cap.
Call History
Your WhatsApp call history is saved under the Calls tab in the app. This lets you see all incoming and outgoing voice calls.
Tap any call in call history to see details like the duration, date, and contact name.
You can also start a new call directly from call history by tapping the phone icon next to a contact’s name.
To delete your call history, swipe left on a call entry and tap Delete. Or tap Clear All in the top right to erase the entire call log.
Now let’s move on to learning about video calling on WhatsApp.
Video Calls
In addition to voice calls, WhatsApp also gives you the ability to make free video calls. Video calling is a more personal way to connect face-to-face and have conversations.
Here is a step-by-step guide to making WhatsApp video calls:
Starting a Video Call
- Open the chat with the contact you want to video call.
- Tap the camera icon in the top right. It looks like a video camera silhouette.
- Your front camera will turn on as the call connects.
- When your contact accepts the call, you will see their video feed and your own smaller preview.
- Tap the red phone button when you want to end the video call.
To receive a WhatsApp video call, slide the notification right to Accept or left to Decline.
Making video calls is very similar to voice calls. The main difference is being able to see live video of the other person!
In-Call Options
WhatsApp provides several useful options during a video call:
- Mute – Mute your microphone so the other person can’t hear you, but they will still see your video.
- Camera – Switch between your front and rear cameras.
- Speaker – Turn on loudspeaker mode by tapping the speaker icon.
- Add participant – Add more people to the video call.
- Keypad – Open the phone dialpad.
- Switch to voice – Easily change to a regular voice call.
- Picture-in-picture – Minimize the video call window while multi-tasking.
Use these options to control your video call experience.
Call Quality
Like voice calling, WhatsApp video calls rely on your WiFi or mobile data connectivity. Maintaining a stable internet connection is important for good video quality and minimal lag.
Factors like weak signal, network congestion, distance to caller, and device performance can degrade video call quality. Try finding an optimal location if the video is fuzzy or keeps freezing.
Video calls require more bandwidth than voice, so an extremely poor connection may be unsuitable. Switch to a regular voice call if your connection is struggling to support video.
Data Usage
Video calls consume much more data than voice calls. A WhatsApp video call uses up to 12 MB per minute, so an hour long video call could use over 700 MB!
Only use video calling over WiFi whenever possible to avoid high mobile data usage. The video resolution will also be higher quality on WiFi compared to mobile data.
To save data, consider disabling high quality video in WhatsApp settings during video calls. This will lower the data consumption.
Video Call History
Your full history of incoming and outgoing video calls is saved in the Calls tab. Tap any call to see details like duration and contact name.
You can also easily start a new video call from call history by tapping the camera icon next to a contact’s name.
To remove calls from history, swipe left on an entry and tap Delete. Tap Clear All to erase the entire call log.
Tips for Better Video Calls
Here are some tips for having the best WhatsApp video calling experience:
- Ensure you are in a well-lit area so the other person can see you clearly.
- Hold your phone at eye level rather than pointing it up at your chin.
- Use headphones to avoid echo or feedback sounds in noisy environments.
- Speak loudly and clearly when the microphone is a distance from your mouth.
- Reduce glare if you are wearing glasses.
- Clean your camera lens if it has fingerprints or smudges.
- Turn off notifications so you aren’t interrupted during important video calls.
Following these tips will help you have clear video chats and avoid common issues.
Now let’s go over some advanced features for better voice and video calls.
Advanced Calling Features
WhatsApp has some useful advanced features to enhance your calling experience:
Conference Calls
You can easily set up conference calls with multiple participants on WhatsApp. Here’s how:
- Start a new call with one contact.
- Once connected, tap Add Participant.
- Select the additional contact(s) you want to add from your chat list or call history. You can add up to 8 participants.
- Tap the Merge Calls button to merge all participants into a conference call.
To remove someone from the conference call, tap their name and then tap Remove.
Conference calls are great for connecting groups of family, friends, or colleagues on a single call!
Call Waiting
If you get an incoming WhatsApp call while already on another call, you will hear beeps indicating a new call is waiting.
To put the current call on hold and answer the new call:
- Tap the Answer button. This will place the first call on hold.
- Talk to the new caller.
- To go back to the first call, tap the Swap button.
- You can now switch between both calls by tapping Swap again.
Call waiting ensures you don’t miss important incoming calls if you are already in another call.
Voicemail
WhatsApp has integrated voicemail support to leave voice messages when someone misses your call.
If the recipient does not answer your WhatsApp call, you will get the option to leave a voicemail after the call ends.
Tap and hold the microphone button to record your voice message. When finished, tap send to deliver the voicemail to the person as a media attachment.
When you receive a new voicemail, you will see a notification. Listen to the voicemail by tapping Play.
Voicemail is useful for leaving short messages if you can’t get through a call.
Call Notifications
When calling someone on WhatsApp, you can set a custom notification that the recipient will see when your call comes in.
To set a call notification text:
- Open your contact’s chat.
- Tap the three dots in the top right.
- Choose Call Notification Text.
- Enter your custom text, like “Urgent – Please Pick Up”.
- Tap OK to save.
Now when you call that contact, your notification message will display on their incoming call screen.
Use call notifications to signal the urgency or topic of your calls.
Call Settings
Under WhatsApp Settings, you can configure options and preferences related to calling.
Calling Over Mobile Data
By default, WhatsApp allows calls over both WiFi and cellular data. You can restrict calls to WiFi only:
- Go to WhatsApp Settings > Data and Storage Usage.
- Disable the “Calls” toggle under When Using Mobile Data.
Now calls will only be allowed when connected to WiFi, preventing mobile data usage.
Low Data Usage
To lower data consumption for calls:
- Go to WhatsApp Settings > Data and Storage Usage.
- Enable Low Data Usage under Video and Voice Calls.
This will limit call quality and resolution to conserve your data allowance.
VoIP Calling Preferences
You can choose which app handles your VoIP calls:
- Go to WhatsApp Settings > Calls.
- Under VoIP, select Prefer Wi-Fi or Cellular.
Prioritizing Wi-Fi will route calls through WhatsApp instead of your cellular minutes.
Troubleshooting WhatsApp Calling Issues
Here are some fixes for common calling problems:
Can’t make or receive calls – Check your internet connection is active. Disable battery saver mode. Restart your device and check for app updates.
Call quality is poor – Move closer to WiFi router or switch to mobile data if on a weak WiFi network. Disable battery saver mode which can negatively impact calls.
Calls disconnect – You likely have an unstable internet connection. Switch networks if available or move location. Reduce any running background bandwidth usage.
Can’t add participants – Confirm you have an updated version of WhatsApp. The conference calling feature requires the latest update. The participant may also need to update WhatsApp.
Can’t switch to video – Ensure both you and the recipient have an updated version of WhatsApp with the video calling feature enabled. If disabled, ask them to re-enable video calling in WhatsApp settings.
Audio echo – Echo can be caused by the caller having both speaker and mic active, creating feedback. Make sure speaker is off.
Video is laggy – This usually indicates a poor internet connection. Try switching networks or disabling other bandwidth usage. Limit video quality in WhatsApp settings during calls to improve performance.
WhatsApp calling is a free and convenient way to keep in touch with your contacts. Both voice and video calls can be made worldwide without any long distance charges.
Simply tap the phone or camera icon within any chat to start communicating in real-time instantly. Take advantage of handy in-call features like muting, speaker, and conferencing to have productive conversations.
Remember to use WhatsApp calling over WiFi whenever possible to avoid cellular data overages. Adjust settings to optimize video quality and data usage based on your connection.
Part 7: Group Chats
Group chats are one of the most useful features of WhatsApp, allowing you to communicate with multiple people at once in the same conversation. Whether for family, friends, work, or communities, group chats help you stay connected and coordinated. In this chapter, we’ll explore how to create and manage WhatsApp groups with tips for seamless communication.
Creating a Group
Starting a new group is easy on WhatsApp. Here are the steps:
- Open the Chats tab and tap the New Chat button (a pencil icon) at the bottom.
- Tap “New Group” at the top of the next screen.
- You’ll now see your full list of contacts. Select the people you want to add by tapping their names. A checkmark will appear next to each selected member.
- Once you’ve chosen all the initial members, tap the arrow icon at the top right.
- On the next screen, give your group a name at the top, like “Book Club” or “Family Group”. You can also set a group icon and description here.
- Tap the checkmark at the top right to create the group.
That’s it! Your new group chat will open, and you can start sending messages. All members you selected will be able to participate in the group conversation going forward.
A few tips for creating efficient groups:
- Keep groups targeted to a specific topic or purpose. Don’t add too many random people.
- Start with just your core members first. You can always add more people later.
- Give the group a clear, descriptive name so people know what it’s about from the beginning.
- Add a description for the rules or purpose of the group if needed.
Adding and Removing Members
As your group grows, you may want to manage the members. Here’s how to add and remove people:
- Adding Members – Tap the group name at the top of the chat to open the group info. Tap “Add Members” and select contacts to add them. New members will be notified they were added.
- Removing Members – Similarly, tap the group name, then tap the member’s name you want to remove. Select “Remove” to confirm kicking them out of the group.
Only group admins can add or remove members – we’ll explain how to manage admin privileges later in this chapter. Also note that if you remove someone, the entire group history remains visible to them. Only future messages will not be accessible.
When managing your group, be thoughtful about who you add or remove. Here are some best practices:
- Don’t overwhelm the chat by adding too many people at once. Add in batches.
- Remove inactive members who haven’t participated in long periods to declutter.
- If you must remove someone, explain why politely via a private message beforehand.
- Always have at least two admins for continuity if someone can’t perform their duties.
Organizing Your Group
Once you have members, organize your WhatsApp group for seamless conversations. Here are some options:
Customizing Group Name, Photo, and Description
Make your group identifiable by giving it a unique name, photo, and description:
- Name – Keep it clear, like including a location or purpose. E.g. “Chicago Book Club”.
- Photo – Choose an image or icon representing your group. It shows up in chats.
- Description – Add a short description or the “rules” that members should follow.
To update these, open group info by tapping the group name. Tap the existing details to modify them.
Muting Notifications
You may wish to mute busy groups temporarily to control notifications.
- Open group info and enable “Mute Notifications”. You can set a duration before they resume.
- Alternatively, you can mute the chat itself by long-pressing on it and selecting “Mute”.
- Don’t forget to unmute when you want to receive messages again.
Archiving the Group
If your group is inactive for a period, archive it to clear up your Chats list:
- In group info, tap “Archive Group” to confirm. The chat disappears.
- When ready to resume, tap “Archived Chats” at the top of your Chats list and unarchive.
Archiving is better than deleting as you don’t lose the chat history. The group can pick up easily when needed again.
Coordinating Group Discussions
Participating in group conversations takes some etiquette. Follow these tips for better discussions:
- Don’t post long personal anecdotes or rants that dominate the chat. Keep relevant to the group purpose.
- Reply specifically to messages instead of just adding comments to the bottom. Use reply or react features.
- Only tag members with @ mentions if you really need their attention. Overusing mentions is annoying.
- Be patient if you don’t get an immediate response. People check groups at their own pace.
- Don’t share private info meant just for certain members. Be aware it’s a public chat.
- Keep language polite and respectful, even in heated debates. You have diverse audiences.
With some care in your communication, your group can have lively yet constructive discussions!
Admin Tools
Group admins have special privileges to manage the chats. When creating a group, you are the default admin. You can also designate other admins:
- In group info, tap member names to open their options. Select “Make Admin” to give them privileges.
- To remove admin status, select “Remove Admin” in the same menu.
Here are the key abilities of group admins:
Adding/Removing Members
Only admins can add new people to the group or kick out existing members. Normal members cannot invite or delete contacts.
Changing Group Settings
Admins have the ability to modify the group name, photo, description, and other metadata like location or links at any time.
Message Moderation
Admins can delete specific messages in the group for everyone. This helps remove spam, offensive posts, or personal info you want to erase.
Pinning Messages
Important messages like announcements or reminders can be pinned to the top of the chat permanently by admins.
Group Approvals
If enabled, new members can only join the group after an admin manually approves them. This prevents unauthorized people from being added.
Manage your group thoughtfully and appoint trustworthy co-admins. Don’t abuse your powers or designate unreliable people who could wreak havoc!
@mentions and Visibility
When you want to grab someone’s attention in a busy group chat, use @mentions:
- Type @ followed immediately by their name – matching contacts will show up to select from as you type after the @ symbol.
- This sends them a notification even if they have muted the group chat itself.
However, use mentions judiciously and only when required. Some tips:
- Don’t overuse mentions for trivial matters. Reserve for important notices.
- Don’t spam everyone with @all if possible. Only target relevant people.
- Watch your tone if mentioning someone for an unfavorable reason and do it via private message if possible.
- People can turn off visibility of when you’ve seen messages and @mentioned them specifically. Don’t take offense if they do this for privacy.
- You can also disable your own visibility in group info under Privacy settings.
Overall, use mentions for their intended purpose – to politely grab attention when your message would otherwise be lost in group chatter. Don’t abuse them as they can come across as aggressive.
Leaving or Deleting a Group
If a group is no longer useful, you can leave or delete it completely:
- To exit a group yourself, open group info and select “Leave Group” at the bottom. You’ll stop seeing future messages.
- Only group admins can delete the entire group for everyone by tapping “Delete Group” in group info. This permanently erases the chat.
- Deleting without warning should only be done as a last resort, like for harassment or crime. Explain the reason before deleting.
- An admin leaving automatically passes on their privileges to the next longest-tenured admin.
- If no other admins remain, the group continues with regular members until it is deleted.
While group chats are useful, prune stale groups to clear up your chat list. But use care when removing yourself or dissolving groups entirely.
Troubleshooting Groups
Group chats may encounter occasional issues like spam or conflicts between members. Here are some troubleshooting tips for admins:
Remove disruptive members after warning them first. But avoid kicking people out over minor issues or personal disputes.
If messages are distracting, mute the chat temporarily instead of removing members right away.
Pin important messages explaining rules or guidelines at the top for clarity.
Enable “Approve New Members” if unauthorized people are joining repeatedly.
Delete offensive messages and warn senders politely to avoid future instances.
If chats get out of hand, step in as admin to calm things down or pause the group for a break.
Ultimately if problems persist, deleting the group may be the last resort to maintain peace. Explain this may happen.
With some active moderation, your group can overcome occasional conflicts. Don’t be afraid to take decisive action when needed.
WhatsApp Web for Groups
WhatsApp Web allows you to use WhatsApp on your computer’s browser by syncing with your mobile device. This can be helpful for managing groups:
- Set up WhatsApp Web by scanning a QR code from web.whatsapp.com on your phone to link it.
- Group chats you are part of will show up on web as well when open on your phone.
- You can more easily review past group messages, search for info, and type faster responses.
- Changes sync immediately between desktop and mobile, like adding members, leaving groups, etc.
- Offline access, push notifications, calls, and other features also mirror the phone experience.
- Multiple devices can stay linked simultaneously by just scanning again from each new one.
Use WhatsApp Web for quicker bulk admin tasks like adding users from your contacts list on the computer rather than phone. But remember to keep your phone handy as you’ll need it for QR code logins.
Recommendations for Successful Groups
Here are some final tips for creating vibrant, active groups on WhatsApp instead of stagnant chats:
- Have a clear purpose and rules pinned at the top for focus. Remind people if going off-topic.
- Encourage on-topic participation from all members, not just a few voices. Prompt quieter folks for input if needed.
- Maintain a supportive environment for sharing ideas. Don’t allow arguments to get hostile.
- Share relevant resources – links, docs, media – that members would find interesting.
- Move or end conversations gracefully if they go on too long or become unproductive.
- Schedule periodic recaps, polls, or questions to engage everyone.
- Take conversations offline via smaller private chats or in-person when appropriate.
- Let people exit if the group is no longer useful for them. Keep only active members.
- Have multiple admins from different time zones to manage 24/7 groups if members are globally spread.
- Give new members a warm, informative welcome when they join.
- Limit group size based on your purpose. Smaller groups build closer connections.
- Above all, be patient and understanding with group members. A little empathy goes a long way.
With care and moderation, your WhatsApp groups can thrive as conduits for meaningful conversations, shared interests, and stronger relationships between members. Use the tips in this chapter to create an inclusive environment where everyone can contribute productively. Handle issues tactfully as they arise. Stay active, engaged, and human as an admin to set the right tone. Using groups thoughtfully can deepen connections well beyond ordinary chats.
Part 8: Settings and Customization
WhatsApp has a plethora of settings and customization options that allow you to personalize the app and control notifications, privacy, data usage, and more. In this chapter, we will explore the various settings and customization features available in WhatsApp.
WhatsApp provides a wide array of customization options via its Settings that enable you to tailor the app as per your specific needs and preferences. Bonus: Advanced WhatsApp Tricks
Pinning Important Chats
WhatsApp allows you to pin up to three chats to the top of your Chats tab, so you have quick access to your most important conversations. To pin a chat on Android, tap and hold the chat, then tap the pin icon. On iPhone, swipe right on the chat, then tap Pin.
Pinned chats will stay at the top of your chat list until you unpin them. This is handy for ongoing group projects, close friends you talk to daily, or customer support chats you need to reference often. You can unpin chats at any time by repeating the above steps.
Customizing Notification Settings
Want more granular control over your notifications? Dive into WhatsApp’s notification settings. You can toggle notifications on or off for specific chats. This is great for muting groups temporarily or turning off notifications from the one chat you don’t urgently need alerts from.
You can also control the notification tone, vibration, popup style, and LED light if your phone has one. Set customized notifications for your priority chats, so you never miss an important message. You can even override the global “Do Not Disturb” mode for VIP conversations.
On Android, long press a chat, tap More > Notifications to find these options. On iPhone, swipe left on a chat, tap More, then tap Custom Notifications.
Using Search to Find Any Message
WhatsApp’s powerful search tool lets you dig up any old message in seconds. Just tap the search icon at the top of the Chats tab and enter a keyword or phrase. This searches all your conversations for matching messages. You can also filter by sender, date range, type of message, and more.
Some examples of effective searches:
- Names to find all messages from that person
- Keywords like “dinner tonight” to surface plans and invites
- Locations like “Statue of Liberty” to find travel photos
- Filenames like “vacation.jpeg” to find media you sent
Use search liberally to find information in old chats without endless scrolling. It works across both individual and group conversations.
Backing Up Your Chat History
Never lose your chat history if you lose your phone or switch devices. WhatsApp has built-in cloud backup capabilities that securely store your messages in the cloud automatically.
On Android, backup happens daily when charging and connected to WiFi. On iPhone, it happens periodically when on WiFi. You can also manually back up anytime via Settings > Chats > Chat Backup.
Restore your chat history when reinstalling WhatsApp or setting it up on a new device. Just log in using the same phone number, tap Restore when prompted, and all your conversations will sync.
You can also locally back up chats to external storage or your computer as extra insurance against data loss.
Marking Conversations as Unread
Sometimes you open a conversation but don’t have time to properly read or respond. Other times, you get an important message while phone is locked, and it marked as read. In both cases, use WhatsApp’s manual unread feature.
Just long press the chat and select “Mark as Unread” to flag conversations with the unread indicator again. This signals that you still need to revisit the messages. It’s perfect for when you can’t reply right away but don’t want conversations to slip through the cracks.
Share Your Live Location
When coordinating meetups with friends or sharing your commute/travel status with family, WhatsApp’s live location sharing feature is invaluable. Open any chat, tap Attach > Location, then select “Share Live Location.”
This shares an updating live map of your location that the recipient can monitor in real-time. It only shows your movement – not where the chat is opened or read. There are options to share for 15 minutes, 1 hour, or 8 hours. Shared location automatically stops after the chosen duration.
Use live location sharing responsibly by only activating it temporarily with trusted contacts. It’s great for staying coordinated on the go!
Reduce Data Usage
WhatsApp can use significant mobile data when sending media files or making voice/video calls. To monitor and optimize your data usage, head to Settings > Storage and Data > Data Usage.
Here you can view exactly how much data WhatsApp has used in the current billing cycle or a fixed time period. Tapping on each contact shows data usage for media sent to and received from that person.
Enable “Low data usage” to compress sent media and receive media only when connected to WiFi. You can also disable auto-download of media and documents. Monitor your usage regularly and troubleshoot any contacts hogging your data.
Export Your Chat Conversations
For important conversations you want preserved outside WhatsApp, use the Chat Export feature. It lets you export entire chats or selected messages as a text file or PDF attachment.
To export a chat, open it, tap More > More > Export Chat. Choose to export with or without media. The exported file can be saved to external storage or sent as an attachment within WhatsApp.
The text file option exports your messages in a simple plain text format. PDF export embeds images, videos, and documents attractively. Note that some details like profile pictures and link previews don’t export.
Using WhatsApp Web/Desktop Apps
WhatsApp doesn’t just live on your phone – you can also access chats from your computer browser or desktop app!
To start, go to web.whatsapp.com in your browser and tap “Log In With QR Code”. Then open WhatsApp on phone, tap Menu > Linked Devices and scan the QR code on screen. This syncs your chats to the browser.
For native desktop apps, download WhatsApp Desktop on Windows/Mac or visit the Microsoft/Apple app stores on your computer. The setup process is the same. Calls must still be placed from your phone.
With WhatsApp Web/Desktop, you can seamlessly message on phone and computer. Your chats stay perfectly synced across devices automatically.
Customize Wallpaper, Theme Colors, and More
Make WhatsApp feel more personalized by customizing its visual appearance:
- Chat wallpapers – Set custom wallpaper for all chats or specific conversations.
- Theme colors – Choose light/dark modes and tweak color scheme.
- Chat bubbles – Change the shape and style of chat bubbles.
- Fonts – Override default font choice and size.
On Android, tap Menu > Settings > Chats to find customization options for wallpaper, theme, and bubbles. For more fonts, enable “Fonts” in Display settings. On iPhone, tap Settings > Chats to customize. Play around to find your favorite aesthetic!
Using Private and Incognito Chats
When you need conversations to be end-to-end encrypted and completely private, WhatsApp’s Incognito mode is the answer. These chats aren’t saved in your main chat list and leave no trace on your phone after closing.
To start an incognito chat on Android, tap the new chat icon, then tap the contact’s name > Enable Incognito Mode. On iPhone, swipe across a chat in the list then tap Delete Chat > Start Incognito Chat.
You can also make existing chats incognito anytime. Keep in mind incognito chats can’t be backed up and if you delete the chat, it’s gone for good. Enable incognito only when absolutely necessary for privacy.
Forward Media and Files Without Saving
WhatsApp lets you forward audio, documents, photos, and videos from your chats without downloading them first. Just long press the media thumbnail and tap Forward.
This is handy for sharing something you received without cluttering up your phone’s storage and photos. All types of media and files can be forwarded directly, removing extra steps.
You can also forward multiple items at once. Long press to select multiple thumbnails, tap Forward, choose a chat, and send. Useful when you want to reshare media moments or documents fast.
Creating Polls and Surveys in Groups
WhatsApp’s group polling feature offers an easy way to survey people or crowdsource opinions right within your chat. To get started, open a group, tap Attach > Poll, and enter your poll question plus answer options.
When you send the poll, all participants can simply tap their vote. As votes come in, you’ll see live updates showing the tally for each option but not who voted what. Polls are a great way to make group decisions quickly and democratically.
After participants vote, you can tap Close Poll to end voting and share the final results. WhatsApp polls support up to 12 possible answer options and work in any sized group.
Share Your Status Stories to Social Media
Your WhatsApp Status stories only live for 24 hours. To get more mileage out of status updates you want to preserve, quickly cross-post them to other social media like Facebook, Instagram, YouTube, and more.
Just create your status update as normal. When ready to post, tap Share and choose a social media app, then follow its posting flow. The status will upload natively as a Story on Instagram or Facebook, a short on YouTube, etc.
Just keep in mind WhatsApp statuses are end-to-end encrypted, so sharing externally makes them non-private. Use responsibly for non-sensitive updates.
Securing Chats with Face/Fingerprint Unlock
On Android, you can add an extra layer of security by enabling fingerprint or face unlock for WhatsApp. Once activated, you’ll need to confirm your identity with biometric authentication whenever opening the app.
To enable this, first set up fingerprint/face unlock on your Android device itself under Security settings. Then in WhatsApp, go to Settings > Account > Privacy and toggle on Unlock with fingerprint/face unlock.
This prevents anyone else from accessing your chats if they gain physical access to your phone. The app remains securely locked until your unique biometric scan.
Sending Messages via Siri on iPhone
On iPhones, you can easily compose and send WhatsApp messages completely hands-free using Siri voice commands. Just activate Siri and say something like “Send a WhatsApp message to Mike saying running late, be there in 10 minutes”.
Siri will immediately create the message and read it back to you for confirmation. After you confirm, the message sends directly without any tapping needed!
You can add punctuation like commas and periods within your spoken message. This voice-powered way of messaging via Siri helps reduce distracted driving and is very handy when your hands are full.
Organizing Groups into Communities
WhatsApp Communities are a powerful new way to organize your groups into related clusters around specific topics like work, family or hobbies.
To get started, tap the new Communities tab, create a community using the + button, then add relevant groups. This community appears as a header above the grouped chats. You can also create community announcements that send to all members.
Benefits include the ability to send announcements across multiple groups at once. It also declutters your main chats list by combining related groups. Tap into Communities to better organize your WhatsApp groups.
Typing Status Indicators
The typing indicators on WhatsApp calls out when contacts are actively typing a message to you. But did you know you can control who sees your own typing activity?
Go to WhatsApp Settings > Privacy > Typing Indicators. From here, choose to show your typing to everyone, contacts only, specific groups or no one.
Disabling typing indicators is good for reducing distractions in busy group chats. Set it to Contacts Only to only show activity when privately chatting. Adjust as per your preferences.
Using WhatsApp Click to Chat Links
WhatsApp Click to Chat links allow contacting businesses instantly without needing their phone number saved. Just tap a URL link and you’ll launch a chat.
For example, clicking https://wa.me/16505551234
immediately opens a chat with the WhatsApp account linked to that number.
Businesses often list these click-to-chat links on their website or emails to encourage conversing via WhatsApp. Tap on one to seamlessly begin a conversation. Useful when contacting companies for support or sales.
Identifying Spam Messages and Scams
Unfortunately, spammers and scammers also utilize WhatsApp to spread malicious content, links and steal information. But there are ways to identify and deal with them:
- Profile Photo – Generic, too perfect photos often indicate spammers.
- Verification – Lack of a green checkmark means unverified business.
- Grammatical Errors – Message text containing typos or bad grammar.
- Suspicious Link – The message includes a shady shortened or unrelated link.
- Requests for Information – Any requests for personal/banking details are red flags for scams.
If a chat seems suspicious, block them immediately and report it to WhatsApp by forwarding the message to 7726. Stay vigilant against potential scammers on the platform.
Creating Gif Stickers from Videos
Want to turn a fun video into an animated Gif sticker for WhatsApp? Download apps like GIF Meme Generator, Gif Maker or Video to GIF Converter from your device’s app store.
Next, upload the video to the app. Use editing tools to crop length, add text or stickers. Then save the final animation as a .gif file.
Now when sending a WhatsApp message, tap the attachment icon and select your gif from the “Sticker” menu. Voila! Custom animated stickers from your videos.
Extending Battery Life
Heavy WhatsApp usage can drain battery since it uses mobile data and power. To optimize:
- Disable auto-download of media in Data Usage settings.
- Turn off “Media Visibility” in Data Usage to avoid processing photos/videos.
- Restrict background data and turn on Battery Saver in app settings.
- Limit read receipts, typing indicators and other notifications.
- Use a darker theme and limit bright wallpapers.
- Ensure older conversations aren’t set to “Pin to Top.”
- Close unused WhatsApp tabs in multi-device apps.
With these changes, you can text and chat while conserving battery!
Using Two WhatsApp Accounts on One Phone
Some people need to manage two WhatsApp accounts on the same device – one personal, one business. While not officially supported, apps like Parallel Space (Android) or Dual Apps (iPhone) enable this capability.
These apps let you clone messaging apps to add a second instance on your phone. You can have two separate WhatsApp setups linked to different numbers. Just ensure only one account remains actively connected to avoid issues.
Juggling two accounts avoids carrying multiple phones yet keeps conversations separate. Just take care not to mix up chats between the cloned apps!
Customizing Call Settings
WhatsApp calls provide a free voice/video calling solution. To control the calling experience:
- Auto-download Calls – Automatically save incoming call history.
- Low Data Usage – Use less data on calls when toggled on.
- Call Tones – Add ringtones to distinguish WhatsApp calls.
- Caller ID – Choose whether your number is visible or hidden.
- Call Logs – Control whether call history is saved.
Take advantage of these settings depending on calling needs and data limits. It helps provide a customized calling experience.
Using Shortcut App Actions
WhatsApp shortcut actions on iOS and Android make frequent tasks more accessible from the home screen. For example:
- Camera Shortcut – Immediately capture to your Status or send as photo.
- New Chat Shortcut – Quickly begin a new one-on-one or group conversation.
- Search Shortcut – Pull up WhatsApp Search instantly.
- Voice Message Shortcut – Record and send voice notes hands-free.
Look for the “Add to Home Screen” option after long pressing the app icon. Customize your favorites for quick access!
Activating Dark Mode
Enable Dark Mode inside WhatsApp for an eye-soothing black interface and subtle green accents. Dark mode cuts glare and saves battery on OLED screens.
On iOS, go to Settings > Chats > Theme > Dark. On Android, enable Dark Mode in your device’s main settings. You can also schedule it automatically from sundown to sunup.
Once activated, all screens, menus, and chats switch to a clean dark look. Toggle it on for messaging comfortably even in dim lighting.
